Communicating With Stakeholders

Abstract
It is becoming clearer that to manage any crisis or make a
paradigm shift in organizations, stakeholders that have stake have to be
engaged for successful planning and execution. This paper reference two tools
to support the needs for both internal and external stakeholders involvement in
determining the solution to organization problems. I used the tools to illustrate
the stakeholders that have a stake in my organization and how I will
incorporate them in the collaborating decision.
Engaging Stakeholders in Determining Solutions
In my search for
additional tools for engaging stakeholders and collaborating to find a solution
to organizational problems, I came across Ilan Baruch article on The Family
of Nations, Our Two Nations and Peace. He uses the Chess Game as a tool to
analyse the involvement of bystander in the game as important to who wins. He
likens this to the involvement of stakeholders in Israel and Palestine
negotiation for peace. He recommended that the involvement of stakeholder is
very important if there will be peace, “among the stakeholders relevant to our
region are three who can generate a significant shift in the balance” (2014).
He referred to U.S, U.N, and E.U as the family of Nations and the stakeholders
that have a stake in Israel and Palestine negotiation for peace. He inferred
that “it is high time for the Arab league, if it wants to make a difference and
join the dynamics of peace in our area, to go beyond the discussions among
heads of government and turn to the civil society in Israel and advocate for
peace…let the family of Nations calls our two nations to join in peace”(2014).
My second finding is Ken
Brumfield article on Succeeding in Crisis Leadership. The article
illustrates a crisis management tool, the involvement of stakeholder in
managing crisis in organization. He defines crisis management as “the
systematic way in which members of an organization, in conjunction with
external stakeholders, work to avoid potential crisis and to minimize and
resolve those that do occur”(2014). The tool enumerates how and where to
involve stakeholders to plan ahead crisis and to effectively have control over
crisis when they eventually occur in the organization. The tool (Crisis
Management Team) encourages flexibility and adaptability of members to continue
changing of conditions, willing to listen to others and share both thought and
ideas of each other, and the ability of members to be comfortable working in
high-stress situations and capable of responding quickly, decisively and
effectively (2014).
Both tools are useful for
me in that, it specify the importance of involving the stakeholders in solving
the company’s problem. The people that need to be involved in analysing the
decision of collaborating with a foreign company are; chairman, M.D, G.M, H.R,
Lead Engineer, and Head of I.T, as the discussion progress there may be a
reason to involve the representative of our clients like Chevron, Mobil, and
Shell to contribute. Involvement of proposed collaborating organization
representative may be necessary at a certain stage of the deliberation, to
expatiate on the benefit of collaborating with them.
The steps I would use to
engage stakeholders, I will initiate the idea within my department of
engineering, give various examples of our competitors that collaboration has given
an edge ahead of us. From there, I will proceed to the individual head of
departments like; G.M, H.R, I.T, and give them enough reason why we need to
collaborate with a foreign company. Finally, I will present my campaign for
collaboration before chairman and M.D, enlightens them on the benefits and
request for their permission to schedule a forum where both the internal and
external stakeholders will meet to discuss the pros and cons involve in
collaborating with foreign partners.
The type of questions and
concerns they might raise is what will the structure of management tree look
like after collaboration. Chairman and M.D do not want to lose their seat to a
partnering company representative. Even though their seat would change, and
they have to share the seats with the partnering company, yet I will let them
realize that the benefit of more big contracts, reduced idle moments,
international connection and improve business across bother worth the
investment.
